Who we are

What we collect

We collect only what is needed to answer an enquiry and to deliver tutoring. Through this website that means the information you type into a form:

  • Your first and last name
  • Your email address
  • The student level, subject or programme you select
  • Your preferred session format and stated availability
  • The content of the message you write

Our server also records the technical information any web server records: the IP address the request came from and the time it was received. This is kept for security and abuse prevention.

What we do not collect

We do not ask for a telephone number anywhere on this website. We do not take payment details online, we do not operate user accounts, and we do not run advertising or behavioural tracking on this site.

Why we use it

Information submitted through a form is used to reply to your enquiry, to arrange a consultation, to match a tutor and to administer sessions if you go ahead. Where a family becomes a client, we also keep session notes and progress records, because a tutor cannot deliver a plan without them.

Who sees it

Form submissions are delivered to our corporate email address and read by the coordinator handling enquiries. Where relevant, the details are shared with the tutor matched to the student. We do not sell personal information, we do not share it for marketing, and we do not pass it to third parties except the service providers described below.

Service providers

Two categories of provider process data on our behalf. Our email delivery provider transmits form submissions to our corporate address, and our hosting provider stores the website and its server logs. Both act on our instructions and are bound by their own confidentiality obligations. We may also disclose information where the law requires it.

How long we keep it

Enquiries that do not become bookings are deleted within twelve months. Records relating to families we have worked with are kept for as long as the relationship continues and for a reasonable period afterwards, in line with tax and accounting obligations. Server logs are rotated on a short cycle.

Your rights

You may ask us for a copy of the information we hold about you, ask us to correct anything inaccurate, or ask us to delete it where we have no continuing obligation to keep it. You may also object to a particular use of your information. Write to [email protected] and we will respond within one month.

Information about children

Enquiries are made by parents, guardians or adult students, and we ask that children do not submit forms themselves. Where we hold information about a student under eighteen, it is provided by the responsible adult and used only to deliver tutoring to that student.

Security

The site is served over an encrypted connection and form submissions are transmitted over an authenticated, encrypted mail connection. Access to enquiries and student records is limited to the staff who need it. No system is perfect, but we take the protection of this information seriously.

Changes

If this policy changes we will update this page and the date shown at the top. Material changes affecting current clients will be communicated by email.
